一、商务英语书信的格式

一般来说, 现在使用的商务英语书信的格式主要有两种:传统的缩头式和现代的齐头式。根据英国传统做法, 缩头式要在信文每一段缩进五或六个字母的空间, 有时可能会缩进更多。现在, 齐头式在商务英语书信中使用得非常普遍。它的突出特点就是所有信的内容都从信纸的左边开始, 段落与段落之间要比缩头式多空出两到三行, 以便于区分。这种格式被称作齐头式。但是, 有时把日期放在信纸的左边会给查找带来不便, 所以, 人们使用了一种改良的齐头式, 即把日期放在右边, 而把其他内容放在左边。一般来说, 我们通常使用单行距来布局一封信, 这会使信函有一种紧凑感。根据个人或公司的喜好, 可以选择使用齐头式或缩头式。

二、商务英语信函的特点

1、信函内容清晰明了, 商务英语信函在写作时, 一定要简单扼要地表达自己的观点, 使收件人能清楚的了解写信人的商业目地, 有时可以在正文前加上标题, 这样可以使读者一目了然, 内容复杂的信函, 让人感到抓不住重点, 不利于主题的表达, 因此, 信函的写作一定要简明。

2、处理好开头和结尾。商务英语信函的开头和结尾虽也有所变化, 但相对而言, 较公式化, 有许多习惯用语, 内容也比较固定, 这些也须一一辨认, 把握。信函的开头为引据部分, 一般总是简述去信的事由或转述对方来函要点, 措辞用语简单得体。结尾部分十分简短, 常用惯用性词语, 有时可不另起段落。

三、商务英文信函写作注意事项

1、在写作过程中注意主体与客体的区分, 切忌主客不分或模糊, 例如:Deciding to rescind the earlier estimate, our report was updated to include$40, 000for new equipment.应改为Deciding to rescind our earlier estimate, we have updated our report to include$40, 000 for new equipment. (We决定呀, 不是report.)

2、在写作当中注意句子的完整性, 句子不要零碎, 结构对称令人容易理解, 例如:He decided not to audit the last ten contracts.Because of our previous objections about compliance.两个句子应该连在一起:He decided not to audit the last ten contracts becauseof our previous objections about compliance.

The owner questioned the occupant's lease intentions and the fact that the contract had been altered with ink markings.应改为:The owner questioned the occupant’s lease intentions and ink alterations of the contract.

3、写作当中, 注意词汇的单复数, 单复数不要搞乱, 让收件人看着不舒服。例如:A responsible director must show their kindness to the employees.这个句子中的单复数就显得有些混乱, 应该改为:Responsible directorsmust show their kindness to the employees.

4、动词和主语要呼应。看一下下面这个例句:China is one of the biggest countries that has large population.从句中的动词和主语不一致, 应改为China is one of the biggest countries that have largepopulation.

5、选词准确, 大小写要注意, 标点要准确, 像affect和effect, operative和operational等等就要弄清楚, 在拼写的过程中也要非常注意, 写错单词的话, 让收件人会产生反感。例如:

She did not make repairs, however, She continued to monitor the equipment.应改为:She did not make repairs;however, she continued to monitor the equipment.

总之, 商务英语信函的书写是非常重要的, 如果格式不对, 让对方感觉到不被尊重, 另外在选词、语言的组织上也一定要注意, 内容安排要合理, 这样的信函才能促进双方很好的进行商务往来, 因此, 要认真学习掌握英语商务信函的写作。

首先,英文信函写作需要把握信件的整体基调,跟口语大不相同,非英语母语者很难准确把握信件语气;

信件风格

常见信件类型有咨询信、请求信、投诉信、感谢信等等,不同的信件类型,书写风格不同。

咨询/请求信:当写信咨询或要求某些事物时,措辞要尽量礼貌、放低姿态,例如:

信函组成部分

称呼

首先来看信函中如何称呼对方。

误区:很多人总是用“Dear…”作为信件开头;

如果认识对方,可能常常会直呼对方的名字,如Dear Henry或Dear Maria;

如果不认识对方,或者双方为业务等正式关系,使用对方的姓,如Mr. Smith或者 Ms Kinnison。

解析:无论何种情况都要以对方的姓来称呼对方,而不要直呼对方的名;

一般情况下用Ms来称呼女士,除非了解到其偏爱其他的称呼;

如果不知道对方的姓名,一般写成Dear Sir/Madam;

如果只知道对方的性别但不知道姓名,则保留对应的称谓,即Dear Sir或者Dear Madam。

正文

正文写作需要开门见山,简单明了,条理清晰。

误区:讲述过多客套语;

解析:写商业信件时,通常在信件开头即明确陈述写信的原因,例如:

注意在正规的商业信函中通常不会将I am缩写为I'm,You are缩写为you're等等。

结束语

信件结尾一般表明期待进一步联系,期待回信,不同信件类型,写作形式不同,例如:

一般的信件,通常写做Looking forward to hearing from you,即期待您的回信;

抱怨信或咨询信,通常写做I anticipate your prompt reply,即希望您尽快答复;

道歉信,通常会再次致歉,例如Once again, I apologize for … and am truly sorry for an inconvenience caused,即再一次表示歉意……,对造成的不便深表歉意。

落款

信件落款也不能一概而论,需要视情况而定,例如:

如果知道对方的姓名通常写做Yours sincerely;

不知道对方的姓名时写做Yours faithfully;

如果是更加表示友好的信件,可能会写上Best wishes或者All best wishes;

而写给家人或者好友的,则可以直接写Love一词。
